Key details about the role and the candidate

 

About the role 

The Senior Document Controller is the focal point within the Project Services Team for Engineering and Projects for document control activities and will support the Project Managers. 

 

Primary responsibilities 

  • Manage, control and distribute Design documentation internally and externally
  • Manage, control and distribute Vendor documentation internally and externally
  • Expedite and Monitor status of project MDR to ensure documentation is submitted according to schedule and provide progress reports / updates to Planning Engineers.
  • Examine Engineering deliverables using the Project DCC QA Check List to verify completeness and compliance with contract requirements
  • Focal point and super user for the archiving data base, supporting all departments with retrieving, updating, storing and destroying documentation
  • Focal point for interfacing with Client document databases
  • Confer with document originators or engineering liaison personnel to resolve discrepancies and compiles required changes to documents.
  • Supporting Engineers with the compilation and reproduction of engineering workpacks and other engineering deliverables as required
  • Manage, control and distribute returned comments internally and externally
  • Produce and distribute overdue document reports to project engineering team and Project management.
  • Set-up and control of project files and numbering, in liaison with the project team.
  • Identify problem areas or issues related to compliance to working practices by Engineering.
  • Monitor due dates for drawings, specifications, software, technical manuals, and other documents and assist Project Planner in expediting late documentation and / or review returns
  • Expedite Supplier documentation in accordance with Supplier Document Listing (SDL) including pursuing delivery of all late deliverables.
  • Expedite internal Workflow comments for supplier documentation
  • Deal with any general queries relating to Supplier document submissions
  • Maintain and produce expediting reports as appropriate

Knowledge and Experience: 

  • Previous experience in Document Control and competent with the use of Pro Arc preferred Microsoft Office experience essential
  • Knowledge of Document Control Processes.
  • Background in Business Admin.
