HR Logistics Coordinator (Temp)

Who We Are Looking For 

Reporting to the Junior HR Business Partner, the Human Resources Logistics Coordinator is responsible for providing logistical and administrative support to UK North Sea Operations.

*Limited Contract (cover for long term absence) 37.5 hrs, Mon – Fri


  • Ensure that all work is carried out in accordance with the Group Management System Procedures and client specific requirements, where appropriate.
  • Ensure all HR activities are carried out in line with KCA Deutag’s Worldwide HR standards.
  • Maintain logistics records on the SAP computer database.
  • Apply corrective actions in SAP to ensure time and payroll reflect absence and attendance changes
  • Prepare crew changes on a daily basis. Liaise with the installations and operator regarding personnel movements. 
  • Liaise with third party manpower suppliers and ensure that all requirements are completed and forwarded to the necessary parties within the required time schedules.
  • Ensure all 3rd party CV’s proposed meet minimum training and competency requirements, verifying training and competency certification.
  • Prepare crew planners for use in longer term personnel planning
  • Actively participate and engage in logistics planning meetings with Rig Managers
  • Arrange medical examinations for UK offshore personnel and advise personnel accordingly.
  • Prepare and report payroll and billing information within timescales determined by Payroll and Finance Departments.
  • Check and appropriately code all expenses and invoices, ready for approval.
  • Arrange accommodation for UK offshore personnel when required. i.e. attending a meeting, weather delay etc. (not travel or accommodation related to normal crew change schedule)
  • Arrange online inductions for new UK agency starts and lapsed personnel
  • Collate and record eligible employees for Client bonuses and allowances, supporting Finance teams in payment provisions
  • Prepare and report payroll and billing information within timescales determined by Finance Department.
  • Issue purchase requisitions for PPE.
  • Produce daily, weekly and monthly reports from SAP. i.e. personnel on board, next of kin and expiry of medicals etc.
  • Support the preparation of professional resumes of UK employees, which can be used during tenders to clients and by other KCA Deutag Departments. 
  • Maintain strict security in respect of personnel information, both on computer and in personnel files, adhere to conditions stated in the Data Protection Act.
  • Be familiar with and participate in the on-call procedures, as part of the Support Services duty rotas.
  • Other duties as requested and within their capabilities.

Key Skills & Experience

  • Previous experience in a personnel logistics role.
  • Ability to engage with individuals at all levels, from senior management, line management to individuals.
  • Time management and organisational skills including the ability to prioritise tasks, work on multiple tasks and work to tight deadlines
  • Able to wider perspective and impact of decisions taken within complex contexts
